Read the allowance and file restrictions together. A large minute balance can still be unsuitable if your recordings exceed the per-file limit or arrive as more files than the plan allows. Likewise, an unlimited transcription plan should be evaluated alongside its file rules and the provider’s terms, rather than treated as a promise of unlimited processing speed.
How each tool fits into the comparison
AccurateScribe: audio and video transcription across common use cases
AccurateScribe converts meeting recordings, interviews, lectures, podcasts, videos and other audio or video content into text or subtitles. Its flat subscription is relevant for people who regularly process saved recordings and want a predictable bill. Check file-duration limits and the formats you need to deliver. Its export menu covers documents, subtitles, spreadsheets, structured data and editing-interchange files; the format table below lists the options. Product overview
Free access provides a partial transcript preview. Full transcripts and full export options require a subscription, which affects how much of a complete interview or subtitle workflow you can evaluate before paying. Access details
Otter: compare meeting use with file-import use
Otter belongs on a meeting-focused shortlist, but its import rules deserve attention when your work starts with files. Pro combines a monthly minute allowance with a file-count limit and a per-file duration limit. For example, 10 imports of 90 minutes each permit at most 900 imported minutes, even though the overall monthly allowance is 1,200 minutes. These limits apply together. Business expands file-import capacity, but its unlimited meeting/app-recording allowance does not remove the 6,000-minute monthly limit on imported files. Otter plan comparison
For delivery, Basic supports text export as TXT; paid plans add options such as DOCX, PDF and SRT. If a client needs a formatted document, include the export requirement when comparing the free and paid tiers. Otter export documentation
Sonix: calculate the included hours and overage together
Sonix offers pay-as-you-go transcription at $10 per hour and subscriptions with included hours. Pay-as-you-go can suit irregular use; a subscription may be less expensive at a steady volume. The distinction matters because the most suitable plan can change as your workload grows. Transcription and translation share the time allowance, so translating the output can change the budget. Sonix pricing and feature details
Its upload guidance normally allows files up to 8 hours and 16 GB, subject to account permissions. Storage limits are separate. Sonix also documents DOCX, TXT, PDF, SRT and VTT exports, making the required handoff format a concrete item to check. Upload limits, export options
Notta: a substantial Pro allowance, with separate file rules
Notta’s Pro allowance equals 30 audio hours per month, which makes it worth comparing for regular use within that limit. Business changes the model to unlimited transcription time per seat, while retaining a monthly file allowance. Those are different constraints: processing long interviews and importing many short clips can lead to different plan choices. Notta pricing, plan explanation
The import documentation allows audio files up to 1 GB and videos up to 10 GB. Files can be up to 5 hours without speaker recognition, or 3 hours with it enabled. Pro and higher plans support transcript downloads including TXT, DOCX, PDF and SRT. Check the speaker setting before assuming a long recording fits. Import rules, download formats
Descript: evaluate the editing workflow as well as transcription
Descript is a different purchase when the transcript is part of editing a podcast or video. Its media-minute allowance covers imported or recorded media, not just text generation. Uploading multiple assets can therefore consume more allowance than the running time of one finished episode. AI credits are a separate resource, so a transcription-only cost comparison does not cover every editing or generation feature. Descript usage rules
Creator and Business can buy additional media hours. Descript also supports document-oriented transcript exports and SRT/VTT captions. If you already subscribe for editing, compare the extra media allowance you need before treating another transcription subscription as an automatic saving. Top-ups, transcript exports, subtitle exports
Rev: keep AI and human services separate
Rev makes sense to examine when you want a choice between automated output and a separately priced human service. Essentials AI includes 5,000 minutes per person per month for English and Spanish; Pro increases the allowance and supports more languages. For a language outside Essentials, compare the relevant supported plan rather than its lower headline price. Rev subscription plans
The listed human-transcription price is $1.99 per minute, a different cost structure from AI subscriptions. A 60-minute recording would start at $119.40 before applicable extras or rounding rules. That calculation is useful for budgeting, but human-service claims should never be used as the accuracy score for Rev’s automated product. Rev pricing
Transcription speed and accuracy
Processing speed and recognition accuracy answer different questions. Recordings, scoring rules and timing boundaries differ across the studies below, so their results do not form a single ranking.
Transcription time comparison with audio duration and sources
The timings below include upload plus transcription where stated. RJI’s three entries use the same interview; the other observations concern their own recordings.
| Product / observation | Audio or video duration | Reported processing time | Timing boundary | Source and date |
|---|---|---|---|---|
| AccurateScribe | 25 minutes | 10 seconds | Upload plus transcription | Test record; run date 2024-01-15 |
| Sonix | 25 minutes | 2 minutes 56 seconds | Upload plus transcription | Emily Lytle, RJI, 2023-02-15. Article |
| Rev | 25 minutes | 4 minutes 31 seconds | Upload plus transcription | Emily Lytle, RJI, 2023-02-15. Article |
| Otter | 25 minutes | 6 minutes 19 seconds | Upload plus transcription | Emily Lytle, RJI, 2023-02-15. Article |
| Rev AI, separate example | 6 minutes | About 40 seconds | Exact start and stop not specified | Miguel Rebelo, Zapier, 2026-04-02. Review |
| Notta | No sourced timing used | — | — | No timing result included |
| Descript | No sourced timing used | — | — | No timing result included |
RJI’s values are transcribed from its original timing chart; they exclude human correction. Plans, network conditions and repeat runs are not fully specified. Zapier discloses that some review links may earn a commission; the example’s recording, complete output and exact tested plan are not published. A dash means no result is included, not zero time.
What the accuracy results show
Willem Maas’s Growth Velocity interview study, published 2023-08-08, reports results against 1,199 reference words from a one-hour B2B interview; the exact scored boundaries are unspecified. The cited research and complete-product tests measure different scopes. Interview study
| Product / entry | Reported accuracy and evidence type | Original test scope | Author, date and source |
|---|---|---|---|
| AccurateScribe — product test | Median file WER: 5.26% batch / 6.84% streaming | 2,703 files / 81.69 hours | Tester-provided product-test results. Test source |
| Sonix Standard, pay-as-you-go | Historical interview WER 3.1% | 37 word errors / 1,199 reference words | Willem Maas, Growth Velocity, 2023-08-08. Original test |
| Rev Max AI | Historical interview WER 4.8% | 58 word errors / 1,199 reference words | Willem Maas, Growth Velocity, 2023-08-08. Original test |
| Otter Pro | Historical interview WER 6.3% | 75 word errors / 1,199 reference words | Willem Maas, Growth Velocity, 2023-08-08. Original test |
AccurateScribe product-test source: The sample scope and WER figures in this row were supplied and confirmed by the tester for this review.
In that interview test, Sonix had lower WER than Rev and Otter. For your own recordings, check names, numbers, overlapping speech and background noise, as well as how much correction is needed before the transcript is usable.
What 10, 50 and 100 audio hours could cost each month
The following estimates apply published monthly rates to English recorded-file transcription for one billed user or editor. They exclude tax, translation, AI-generation extras and human editing. Each recording must fit the plan’s file and storage rules. The table shows estimates for specific plan combinations; actual charges depend on the seats and options purchased.
| Product | 10 hours/month | 50 hours/month | 100 hours/month | Basis |
|---|---|---|---|---|
| AccurateScribe | $19.99 | $19.99 | $19.99 | Published monthly Unlimited plan |
| Otter | $16.99 | $30.00 | $30.00 | Pro for 10 hours within its import limits; Business for larger volumes |
| Sonix | $50.00 | $180.00 | $680.00 | Advanced for 10 hours; Pro plus $10/hour overage thereafter |
| Notta, per billed seat | $13.49 | $27.99 | $27.99 | Pro for 10 hours; Business for 50/100 hours, up to 200 files per seat/month |
| Descript | $24.00 | $115.00 | $265.00 | Hobbyist for 10 hours; Creator plus media top-ups for larger volumes |
| Rev AI | $29.99 | $29.99 | $59.99 | Essentials for 10/50 hours; Pro for 100 hours |
Sources: AccurateScribe, Otter, Sonix, Notta, Descript and its media top-ups, and Rev. Notta figures are per billed seat. Multiply the Business rate by the number of seats purchased; file allowances also apply per seat.
Two examples show how the estimates work. Sonix Pro at 100 hours is $80 + (100 − 40) × $10 = $680. Descript Creator at 50 hours is $35 + an additional 20-hour pack at $80 = $115. At 100 hours, adding 50-hour and 20-hour packs produces $35 + $150 + $80 = $265. Descript’s top-up documentation gives those pack prices; this is a Creator-based scenario, not a claim that no other plan combination could be preferable.
Match the calculation to your file pattern. Otter Pro’s 10-import limit matters even below its minute allowance, and 100 hours consumes Business’s full imported-minute allowance. Existing subscriptions also change the decision: an additional media pack may cost less than buying a second tool. Finally, software price does not include the time you spend checking quotations, names or subtitle timing.
Documents and subtitles need different checks
For a written interview, check whether speaker labels, paragraph breaks and corrected text survive export. For captions, check the required file type and play the exported track against the video. A transcript can read well while still needing changes to subtitle timing or segmentation. The presence of an export format establishes that the option exists; it does not measure the quality of a particular result.
| Product | Document, subtitle and data export options relevant here |
|---|---|
| AccurateScribe | DOCX, PDF, TXT, SRT, VTT, STL, EDL, XML, CSV, XLSX, HTML, JSON, FCPXML. Export-menu options; common-format help. |
| Otter | TXT; paid plans add DOCX, PDF and SRT. Help |
| Sonix | TXT, DOCX, PDF, SRT, VTT. Help |
| Notta | Paid transcript downloads include TXT, DOCX, PDF, SRT and XLSX. Help |
| Descript | TXT, DOCX and other text formats; SRT/VTT captions. Text, captions |
| Rev AI | DOCX, PDF, TXT, SRT, VTT. Help |
Rev specifically distinguishes subtitle files exported from an AI transcript from a separate AI Captions order. If captions are your final deliverable, compare the actual caption workflow rather than assuming every route produces the same editable result. Rev file-format guidance
Which tool should you try first?
For audio and video transcription, compare AccurateScribe’s flat subscription, Sonix’s included-hour and overage model, and Notta Pro if your workload fits its 30-hour monthly allowance and file rules. For meetings, the shortlist can include AccurateScribe, Otter and Notta; also compare capture and shared-note features if those are part of your workflow. Descript is relevant when you need podcast or video editing. Rev adds a separately priced human-service option alongside its AI plans.
Then process a representative recording with your two strongest candidates. Include a passage with names or numbers, a speaker change and the kind of background sound you normally encounter. Correct the output to your required standard and open the exported file in its destination application. That complete task will tell you more about fit than an isolated headline accuracy percentage.
Frequently asked questions
Which transcription tool is the most accurate?
The available public tests use different recordings and scoring methods, so they do not establish an accuracy leader among these six tools. To compare AccurateScribe with the other candidates, test the same representative recording and score each transcript against the same reference text.
Does unlimited transcription mean there are no restrictions?
No. Check how the provider defines the allowance, plus file duration, file count, storage and access to exports. A meeting allowance may differ from a file-import allowance, and a free preview may differ from access to a complete transcript. Those distinctions can change which plan actually covers your task.
Can a transcript be used directly as subtitles?
Only after checking the required format, timing and segmentation. Select a plan with the needed export option and review the resulting captions against the video. A readable document and a publishable subtitle track are different deliverables.
Making the choice
Choose the two services that best fit your workflow, then compare them on the same recording. Check the transcript, correction time, exported file and total cost at your expected volume. The better choice is the one that produces an acceptable deliverable with the least overall effort and a bill you can predict.
Test notes and sources
Product information and subscription terms were checked on 2026-10-17. Cost scenarios use the plan combinations and assumptions shown above. Performance studies retain their authors, dates and original links. File medians, corpus WER, semantic errors and task-success measures use different scoring methods and should be read within each study’s scope.

The cited research results are not interchangeable scores. Pipecat excludes missing transcripts from its WER denominator and reports a transcript-return rate of 99.8%; its audio and references are public. Smolevich’s small-sample figures are author-reported; the private voice memos are not public. MU-Bench uses LLM-normalized transcripts and equal weighting across locales; UER counts utterances with meaning-changing errors. Sierra audio and labels are public.
VoiceCodeBench’s scenarios are synthetic and human-read, and its WER is format-invariant. CTEM measures recoverable entities; TSR requires every target in a segment to be recoverable. Audio and annotations and scoring code are public. TORGO uses mean per-utterance WER capped at 100%, not pooled WER. The test runs occurred on 2025-09-17–18, before the 2026 revision. Verli and Superwhisper publish transcription products, and the WhisperKit authors develop a competing system.
